Position Summary:
The Administrative Assistant will perform administrative tasks and services to support effective and efficient operations for members of our Leadership Team reporting directly to the Chief Financial Officer. Administrative support can include but is not restricted to presentation preparation, data analysis, meetings, events, and conference arranging, preparation, and issuance of monthly status reports, booking and coordinating meeting arrangements/travel and administration associated with key programs. This is a 100% onsite full-time position.

Primary/Essential Responsibilities:

  • Prepare and maintain confidential organizational reports and records, with follow-up on pending matters as appropriate. Handles confidential material and information with necessary discretion.
  • Have responsibility for all administrative support duties pertaining to the CEO including scheduling tours, lunches, travel, meetings, dinners and trainings
  • Maintain metric worksheets and prepare reports monthly
  • Submit all expense to Concur for CEO
  • Support finance team with administrative tasks
  • Prepare PowerPoint decks and booking for other various meetings (QBR, All Employee, Red Yellow etc.)
  • Back-up front desk
  • Support and plan yearly company events for example golf outing, Camp Jorn etc.
  • Support the CEO with travel, reports, meetings, dinners and compliance trainings
  • Manages internal and external correspondence as necessary with the ability to act independently
  • Coordinate FMLA/ Short term disability leaves
  • Backup payroll
  • Other duties as assigned

Required Qualifications:

  • Extensive computer skills in Outlook, Word, Excel and PowerPoint
  • Experience with PDF editing and SharePoint
  • 7-10 years in an office environment
  • Strong organizational skills with the ability to multi-task
  • Must be legally authorized to work in the United States on an ongoing basis without company sponsorship
  • Excellent written/verbal communication and interpersonal skills.
  • High degree of confidentiality, reliability, discretion, quality, and professionalism
  • Highly flexible and proactive in approach in order to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities
  • Very effective in interacting with people at all levels of the organization as well as external contacts; customers etc.
